Minutes of Meeting

February 14, 2018

The Larchmont Public Library Board of Trustees met on January 10, 2018 at 6:47 p.m., attended by Board Chair Pamela Dubitsky (PD), Trustees Jennifer Conley (JC), Lauren Gottfried (LG), Maureen LeBlanc (ML), Barbara Liptack (BL), and John McGarr (JM), Village of Larchmont Liaison Carol Miller (CM) and Town of Mamaroneck Liaison Jeffery King (JK) and Friends Liaison Sophia Bernstein (SB), Library Director Laura Eckley (LE), Library Head of Reference Liam Hegarty (LH) and Staff Assistant D.J. Brucciani (DB). Library Trustee Linnet Tse (LT) was absent.
Board Chair Pamela Dubitsky called the meeting to order at 6:45 p.m.
PD introduced new Town of Mamaroneck Liaison Jeffery King (JK) and welcomed him to his first Library Board Meeting.
The Board reviewed and unanimously approved the Minutes of the Board Meeting of January 10, 2018

Friends of the Larchmont Public Library Liaison Report

SB reported on the success of the Friends First Annual Mini Golf Fundraiser which netted over $10,000.  SB reviewed upcoming Friends events including the Sixth Annual Spelling Bee in April. SB stated that the Friends voted at their January Board Meeting to donate $500 in honor of retiring long term Friends member Harriet Kline for large print books and audio books. PD congratulated the Friends on the success of their fundraiser and thanked them for all of their continued support of the library.

Committee Reports

Schedule of Bills and Performance Report: The Board reviewed and unanimously approved the Schedule of Bills dated 2/9/18 and 2/14/18. The Board approved the Performance Report dated 2/9/18.
JM made a motion, seconded by ML, to approve the following resolution, which the Board then passed unanimously:

Resolved, that the Board of Trustees of the Larchmont Public Library hereby directs Village Treasurer Denis Brucciani to transfer $26,000 from the Library Building Maintenance Fund to the Library Transformation Fund in order to pay an invoice related to the Transformation Project, with such invoices ultimately to be funded through New York State grants once they are received.

PD reported that the Library’s FY18/19 budget had been presented at the annual joint meeting of the Town of Mamaroneck and Village of Larchmont and that both Boards agreed to approve the Library’s budget at the next scheduled public Board Meeting of each municipality.

Building and Grounds

LE reported that HVAC repairs and maintenance have been completed with the exception of one unit in the upper level ceiling which will take place within the next month. LE presented an estimate for the painting of the upper and lower lobbies of the Children’s Room in the amount of $5,508.34 from Andreu Painting.  The Board unanimously approved the estimate and work will be scheduled for the coming month.

Director’s Report

LE reviewed the following items 1) FASNY has signed a room rental agreement to use the Village Center on Wednesday afternoons for the remaining school year 2) Head of Reference Liam Hegarty is exploring the possibilities of book leasing and ordering preprocessed material with library vendor Baker & Taylor book rentals 3) Librarians Kim Larsen and Paul Doherty are reviewing the library volunteer program for adults and teens and will be updating applications and job descriptions and 4) LE and Staff Assistant DJ Brucciani are preparing the Annual State Report.

Correspondence

LE presented an email from a patron who recently participated in a Tech Tuesday session with Liam and expressed gratitude and admiration for the thoroughness and helpfulness of the program.
Board Chair Dubitsky adjourned the meeting at 7:35 p.m. The next regularly scheduled meeting of the Board will be held on March 14, 2018.
