Minutes of Meeting

July 24, 2018

The Larchmont Public Library Board of Trustees met on July 24, 2018 at 6:45 p.m., attended by Board Chair Pamela Dubitsky (PD), Board Trustees Barbara Flickinger (BF), Lauren Gottfried (LG), John McGarr (JM) and Linnet Tse (LT), Town of Mamaroneck Liaison Jeffery King (JK), Friends of the Library Liaison Sandy Bernstein (SB), Library Director Laura Eckley (LE), Library Head of Reference Liam Hegarty (LH), and Library Staff Assistant D.J. Brucciani (DB). Board Trustees Jennifer Conley and Barbara Liptack and Village of Larchmont Liaison Sarah Bauer were absent.
Board Chair Dubitsky called the meeting to order at 6:50 p.m.

Board Meeting Minutes

The Board reviewed and unanimously approved the Minutes of the Board Meeting of June 13, 2018.

Friends of the Larchmont Public Library Liaison Report

The Friends do not meet over the summer so there was no report.

Committee Reports

Schedule of Bills and Performance Report: The Board reviewed and unanimously approved the Schedule of Bills dated 7/20/18 and 7/24/18. The Board reviewed and approved the Performance Report dated 7/20/18. The Board unanimously approved Trustee JM to authorize bill payments in the month of August.
JM made a motion, seconded by BF, to approve the following resolution in connection with the Library Transformation Fund (used to fund the 2017 renovation of the main building), which the Board then passed unanimously:

Resolved, that the Board of Trustees of the Larchmont Public Library hereby directs Village of Larchmont Treasurer Denis Brucciani to 1) transfer $62,000 from the Library Transformation Fund to the Library Building Maintenance Fund, to repay funds temporarily transferred from such Building Maintenance Fund into the Library Transformation Fund in November 2016 and February 2018, 2) transfer $169,732 from the Library Transformation Fund to the Library fund balance, to repay funds temporarily transferred from such fund balance into the Library Transformation Fund in January, April and September 2017, and 3) close all funds and bank accounts associated with the Library Transformation Fund.

Building and Grounds

LE reported that mechanical engineers from Werner E.  Tietjen, P.E., Mechanical Engineers, have completed their survey and report, and noted that she and PD will meet with the engineers to review their recommendations.

Director’s Report

LE reported that the Library staff sent out two special e-newsletters in July to patrons through Constant Contact.  The first was an in-depth overview, with downloadable links, of all the e-resources available through the Library (including the Westchester Library System resources), resulting in a large number of patrons signing up for the Library’s Tech Tuesday training slots.  The second was a reminder about the Library’s museum pass program, resulting in the highest click-through rate of any email ever sent out by the staff. LE further reported that Alex Gaete, Liam Hegarty and Kim Larsen filmed short book reviews with LMC-TV which will run as commercials throughout the summer.  She also noted that a new collaboration with The Friends of Larchmont Park, called “Peruse in the Park”, highlights the local parks in which to read and includes a recommended reading list which will be posted weekly on the Library’s website and social media.

Additional Items

At the recommendation of LE, and after extensive discussion, the Board unanimously approved a change to the evening hours for the Children’s Room, which will be open on Monday and Thursday until 7 p.m. starting in September 2018.
The Board unanimously approved discarding the following equipment: two Toshiba and one HP laptops purchased 9/2010 for the Children’s Room and identified on the Library Equipment List as laptops T, R &G.
Board Chair Dubitsky adjourned the meeting at 7:35 p.m. The next regularly scheduled meeting of the Board will be held on September 12, 2018.
